Office potluck sign up sheet

Stop the reply-all thread. One link goes in the team channel, everyone adds their name to a line, and you print a copy for the break room fridge.

1. The event
Start from a list
2. What do you need?

No account. Guests do not give an email. Free sheets take 20 sign-ups.

Why an office potluck needs more structure

At work the problem is not shortage, it is anonymity. Fifteen people bring something, nobody knows what, and the lunch is five desserts and a bag of chips. A sheet with a count on each line gives a team lead a way to say “we need two mains” without having to chase anyone.

It also helps with the practical part. The list asks for plates, cups and serving spoons as items, so the person who owns the stapler does not end up buying paper goods. Hot dishes want a slow cooker or an outlet, so the list suggests labelling them as such.

What is on the office starting list

The office list is sized for a team of about fifteen to twenty and keeps the hot dishes to the number of outlets you probably have.

Running an office potluck without drama

Keep it voluntary and say so in the note. Some colleagues cannot cook, and some cannot eat what the others bring. Add lines for drinks and paper goods so that everyone can take part without a recipe, and let people sign up with a first name only.

Print the sheet for the break room. People who do not read the team channel will still notice a list on the fridge. The host view prints the current state, and the printable page makes a blank sheet where people write with a pen.

Questions

Can the whole team see who signed up?

Yes. Anyone with the guest link sees the names and dishes on the list. Nothing else is collected, and guests are not asked for an email address.

What is a good number of dishes for an office potluck?

One dish for every two to three people is a safe start, with at least two mains, a couple of sides and a salad. The starting list has more lines than that, so remove the ones you do not need.

Can I limit how many people can sign up?

A free sheet closes at 20 sign-ups, and you can lock a sheet at any time from the host view. For a bigger team the Event Pass lifts the sign-up limit.

Can I print the list?

Yes. The host view has a print button and a PDF download of the sheet as it stands, and the printable page makes a blank sheet for people who would rather write with a pen. Free copies carry one small “Made free” line at the bottom.

Is the potluck sign up sheet free?

Yes. A free sheet takes up to 20 sign-ups and 25 items, needs no account, and stays online until 30 days after the event. The Event Pass ($4.99, one time) lifts those limits for a bigger gathering.
